|Operations Manager /Facilities Management
National Facilities Management Company is now recruiting for a Operations Manager to join their team in Port Elizabeth.
This position requires a Qualified Operations Manager with extensive working experience with
Budgets, Financial Management, Service level agreement Management, Project Management
and New business development
Degree qualification (Related Discipline)
This individual must have previously managed huge projects (preferably across a region or regions) to successful completion.
Managed a team of skilled professionals and also be the kind of individual that will be willing to roll up his sleeves and get stuck into the daily operations.
Must have previous experience as a Facilities Manager (At least 3- 5 Years) Preferably similar environment
Must have previous experience as a Senior Manager (at least 2- 3 years)
Project Management experience
Preferably have a participative but directional management style.
Good interpersonal skills;

Able to take control of situations;
Able to work under pressure;
Able to meet deadlines;
Strong negotiating skills;
Understanding of contracts;
Ability to create and maintain budgets;
Able to manage Contractors and Service Units in line with agreed Service Level Agreements (SLA’s);
Ability to communicate on high level;
Integrity and honesty;
Understanding of BBBEE requirements;
Facilities Management Expertise;
Basic Understanding of Labour Issues;
To manage designated sites;
To manage staff;
To manage vendor contracts;
To manage spend;
To manage procurement processes;
Billing and payments;
To set up and implement a preferred vendor database;
Implement and monitor Processes and Procedures;
Monitor and report on Service Provision;
Secondary Duties :
Manage Designated Sites
Monitor and manage service;
Maintain service levels in accordance with the contracts and SLA’s
Implement SLA’s and services;
Ensure service level improvements;
Produce and present Contract and Performance reports;
Feedback and communication to Customer and ensure Customer satisfaction;
Maintain strong customer relations;
Maintain the service levels in accordance with the contract.
Manage staff and staff performance;
Manage and conduct Staff Appraisals.
Manage Vendor Contracts
Produce vendor contracts;
Negotiate and implement the vendor contracts;
Monitor service levels;
Monitor and manage the conformance to the contracts;
Manage notice periods and contract reviews/terminations;
Report on status, performance and compliance.
Promote and effect savings;
Manage spend in accordance with the contract.
Manage Procurement Processes
Set up and implement the procurement procedure;
Procure against the set procedures;
Report on status and compliance.
Hold regular Meetings with Clients;
Address areas of concern and rectify;
Feedback and report to Head Office;
Provide regular feedback to Clients regarding contracts, policy and procedures;
Ensure Client satisfaction;
Complete and facilitate all Client requests in accordance with the contract;
Ensure contract sustainability.
Billing and Payments
Spot check Invoices against Work Orders;
Sign off all expenditure against the contract.
Preferred Vendor Database
Set up the vendor database;
Monitor the vendor database;
Manage and control the vendor database;
Ensure compliance with procedures and policy;
Ensure compliance with BBBEE requirements of vendor spend.
Processes and Procedures
Implement all approved process and procedures;
Adapt and make site specific;
Create additional or amend where required;
Train and communicate to staff;
Monitor and measure services against processes and procedures;
Report back to Head Office;
Ensure all Processes and Procedures are approved by the Operations Management.
Monitor and Report on Service Provision
Hold regular meetings with Service Heads/Facility Heads;
Audit Service Provision;
Report on Service Provision;
Report on Policy and Procedure compliance;
Manage Client satisfaction requirements.
Manage the contractual relationship between the Client and the company in accordance with the main contract;
Manage the quality of service provision to ensure Client satisfaction;
Manage the cost of service provision to maximize profitability;
Manage the delivery of service to meet with contractual requirements;
Identify new business opportunities;
Grow the contracts.
Measurables / KPA’s
Turn around times;
Systems and procedures;
Service Provision Audits.
Growth, Profitability and Performance of the contract
Salary R550 – R620 per annum TCTC
Possibility of incentive bonus linked to the site/project performance
